Recently, the Vietnam Intellectual Property Office IPVN issued an announcement on June 3, 2025 that patent application documents and certified copies of grant certificates will be issued in electronic form.
According to the announcement requirements, when IPVN issues a copy of the patent certificate, it will be sent by email to the address provided by the applicant when requesting a copy of the certificate. The email will contain the application number or patent number, as well as a link and access code for downloading the file. If the applicant does not provide an email address for communication, or a paper document is required in special circumstances, IPVN will provide a certified paper copy.
The announcement also confirmed that these electronic documents have the same legal effect as paper documents.
This announcement and the previous announcement No. 438 issued by IPVN both indicate that the Vietnam Intellectual Property Office is gradually transitioning to a paperless system. This change undoubtedly brings many conveniences to applicants, such as no longer needing to store or keep paper documents. However, to ensure that electronic documents are received smoothly, applicants should pay attention to the following points:
- When requesting a certified copy, clearly state whether a paper document is required and provide the reason;
- promptly notify IPVN of any changes to their email address;
- Check your spam folder regularly as IPVN emails may occasionally be filtered.
